Our Coordination Services

We are currently looking for new mediators!
When you hire us, you can expect a seamless and tailored experience that prioritizes your unique preferences and goals for your mediation practice. Our team is dedicated to providing exceptional customer service and a friendly, efficient approach to working with your clients to schedule your mediations, while ensuring meticulous attention to detail. Let us take care of the coordination so that you can focus on mediating. 

Our Coordination Service includes:

  • Coordinating all mediation details associated with incoming bookings, virtual and/or in person.

    • This includes incoming and outgoing phone calls and emails during business hours (9am – 5pm, Monday to Friday). Typically, our turnaround time to respond to date requests and any other incoming coordination details is 1-2 hours. We pride ourselves on being especially quick to respond to new date requests so that your clients always have the quickest, most up to date knowledge of your availability to reduce their incentive to shop around. 

    • This also means coordination services remain uninterrupted any time you are away on vacation, mediating, or doing anything else. You can enjoy yourself knowing your clients are well looked after and you’re not missing any new bookings.  

    • Once we have confirmed the details of a mediation with all parties, we schedule rooms at facilities for in-person mediations and coordinate with our in-house technical support person, Marlon Hanssens to set up online meeting rooms for online mediations. We then send out a customized mediation confirmation to all parties. Additionally, we prepare opening/closing documents and receive/save any briefs that come in prior to the mediation.

  • Unlimited mediation date rescheduling and revisions to any details of the mediation (e.g., location, time, change to online, in-person, or hybrid).

  • Access to our phone line  

    • You can provide clients our business phone number to call us directly to schedule mediations. You can also call us at this number during business hours and request we follow up with any clients who you have spoken with directly about booking a mediation. 

  • Initial set-up of mediation exclusive accounts and documentation

    • We have created an effective system that works with you and your clients to organize your documentation and correspond with clients. ​Our services include setting up your business within this system and guiding you through using it. We set you up with our file management system, a calendar and custom booking email address, and we create custom forms that your clients complete to schedule mediations with you based on your preferences. We also provide support in helping you use this system effectively. 

  • Initial costs/time associated with learning your preferences with regard to coordinating your mediations.

After the initial set-up with us, our goal is to take over all aspects of coordinating your mediations so that you can simply watch new bookings appear on your calendar and have the details of your mediations at your fingertips.

*At minimum, we require that the mediators on our roster be a part of an established and recognized group - i.e., Mediate BC, the Alternate Dispute Resolution Institute of Canada (ADRIC), the Canadian Academy of Distinguished Neutrals (CADN), and/or have experience with the Law Society’s Mediation Fee Program
